Overview
Net Terms & Credit Limits lets approved business customers order now and pay later on invoice. Each customer gets payment terms and a credit limit, every order is checked against the credit left, and every invoice is followed until it is paid.
- A real payment method. "Pay on invoice (Net 30)" at checkout, with the due date and the credit left. Hidden for guests and customers without an account.
- Credit accounts. Approve single customers or whole customer groups, with their own limit and terms or the defaults. Net 15, 30, 60 or end of month.
- PO numbers. Off, optional or required; shown on the order, the printed invoice, the reminders and the statement.
- Above the credit. Not offered (with a clear reason), or accepted and held for credit review.
- Payments. Record full and part payments on the admin order page; the invoice closes itself when it is paid. A cancelled order no longer counts.
- Reminders and holds. E-mails before, on and after the due date; accounts put on hold when they are too long overdue and released once paid.
- For customers. My account > Credit account: available credit, balance, overdue, every invoice, a printable statement and an application form.
- For you. Receivables overview, invoices, accounts, applications, aging report and CSV exports.
Amounts are in your store currency; customers see each invoice in the currency of their order. No OCMOD, no core file edits. One licence covers OpenCart 4 and 3. Tested on OpenCart 4.1.0.4 and 3.0.5.1; other 4.0.2.x to 4.1.x and 3.0.3.8 to 3.0.5.x versions are expected to work but are not tested.
Installation
Requirements
- OpenCart 4.0.2.0 to 4.1.x, or 3.0.3.8 to 3.0.5.x
- PHP 7.4 or newer
- Working store e-mail (System > Settings > Mail) for reminders and notices
Install on OpenCart 4
- Go to Extensions > Installer and upload
kv_net_terms.ocmod.zip. - Press the install button next to Net Terms & Credit Limits.
- Go to Extensions > Extensions, choose Modules and install Net Terms & Credit Limits. This also installs and switches on the payment method "Pay on invoice" (Extensions > Payments).
Install on OpenCart 3
- Go to Extensions > Installer and upload
kv_net_terms-oc3.ocmod.zip. - Go to Extensions > Modifications and press Refresh.
- Go to Extensions > Extensions, choose Modules and install Net Terms & Credit Limits. This also installs and switches on the payment method "Pay on invoice".
First steps
- Open Customers > Net Terms > Settings: default credit limit and payment terms, the order status of new orders, the PO number and what happens above the credit.
- Approve customer groups in the settings, or open an account for a single customer on the Accounts tab by e-mail.
- Customers without an account can apply under My account > Credit account; approve or decline on the Applications tab.
- OpenCart 4 runs the daily reminders as a cron job (System > Maintenance > Cron Jobs). On OpenCart 3, call the cron address from the Receivables tab once a day; the job also runs when you open the extension.
Updating
Upload the new package the same way. Accounts, invoices and payments stay; tables and settings are brought up to date the next time you open the extension.
Removing
Uninstalling the module removes the accounts, invoices, payments, applications, settings, events, the cron job and the payment method. Orders keep their payment method name and order history.
Configuration
Customers > Net Terms > Settings.
Payment method
| Setting | What it does |
|---|
| Offer paying on invoice | Main switch for the storefront. Admin screens, invoices and reminders always work. |
| Payment method on | The same switch as in Extensions > Payments. |
| Name at checkout | "Pay on invoice"; the terms are added: "Pay on invoice (Net 30)". |
| Sort order at checkout | Position among the payment methods. |
| Order status of new orders | Status of orders paid on invoice. With a processing status the stock is subtracted at once. |
| Order status for credit review | Used for orders above the credit when they are accepted for review. |
| Order statuses that cancel the invoice | An invoice whose order moves to one of these statuses (Canceled, Refunded, Voided ...) no longer counts against the credit. |
Credit accounts
| Setting | What it does |
|---|
| Approved customer groups | Customers of these groups have an account without applying. Each group can have its own limit and terms. |
| Default credit limit | In the store currency, used when neither the customer nor the group has one. 0 = no limit. |
| Payment terms (days) | Default terms. 0 = due on receipt. |
| Due date counts from | The order date, or the end of the order month (Net 30 EOM). |
| Credit applications | Customers without an account can apply under My account > Credit account. |
| E-mail the store about new applications | Sent to the store e-mail address. |
A status set on a single customer (Accounts tab) wins over the group: Approved, On hold, Declined or By group.
Checkout
| Setting | What it does |
|---|
| PO number | Do not ask, optional or required. |
| Order above the available credit | Do not offer paying on invoice, or accept the order and hold it for credit review. |

| Explain why paying on invoice is not available | On hold, overdue or over the limit: the customer sees the reason at checkout. |
Reminders
| Setting | What it does |
|---|
| Reminder days before the due date | 0 = none. |
| Reminder on the due date | On or off. |
| When overdue, remind every (days) | 0 = no overdue reminders. |
| Overdue reminders at most | Per invoice. A new due date starts the reminders again. |
| Put accounts on hold after (days overdue) | The account is put on hold and the customer e-mailed; it is released by itself once paid. 0 = never. |
Licence
Paste the licence key from your Kavio Labs account. During the 14-day trial and with an active licence, customers are offered paying on invoice. Without one, the payment method and the application form are not shown; admin screens, invoices, payments and reminders keep working.
Usage
At checkout
Approved customers see Pay on invoice (Net 30) among the payment methods. The confirm step shows the payment terms, the due date, the credit available and what is left after the order, and asks for the PO number. The order is checked again on the server when it is confirmed. Orders above the credit are not offered or go to credit review, depending on the settings.
Receivables
The first tab shows what is outstanding and overdue, what is due in the next 7 days, payments of the last 30 days, accounts on hold, applications waiting, the aging of open invoices, the largest balances and the open invoices with the oldest due date first. Run now sends the reminders that are due today.
Invoices
Filter by open, overdue, credit review, paid or void and search by order number, customer, e-mail or PO number. CSV export of the list.
On the order page
Orders paid on invoice get a Net terms invoice card: amount, paid, still to pay and due date; change the due date or PO number; record a payment (amount, date, method, reference; part payments too); remove a wrong payment; send a reminder now. The printed invoice shows the terms, the due date and the PO number under the payment method.
Accounts
Every customer with a credit account, from a group or of their own: limit, balance, available, overdue and terms. Open an account for a registered customer by e-mail, or edit one: status, limit, terms, hold reason (shown to the customer) and a private note.
Applications
Customers apply with company name, VAT or company number, phone, the credit they ask for and a message. Approve with a limit and terms, or decline with a reason; the customer is e-mailed either way.
Aging report
Open amounts per customer by days past the due date (not yet due, 1-30, 31-60, 61-90, over 90), with totals and CSV export.
For your customers
My account > Credit account shows the credit available, the balance, what is overdue, the payment terms and every invoice; the statement prints cleanly. The customer's order page shows the terms, due date, PO number and what is still to pay.
FAQ
Does it take money from the customer?
No. Paying on invoice is a promise to pay later; the customer pays by bank transfer or however you agree, and you record the payment on the order page.
Can guests pay on invoice?
No. Paying on invoice needs a customer account with a credit account (approved by you, by customer group or after an application).
Which currency are limits and balances in?
In your store currency, like OpenCart order totals. Customers see each invoice in the currency of their order.
What happens when an order is cancelled or refunded?
When the order moves to one of the statuses you choose (Canceled, Refunded, Voided ...), its invoice becomes void and no longer counts against the credit.
Is the stock subtracted?
That follows OpenCart: with a processing order status (Processing by default) the stock is subtracted when the order is placed.
Are reminders sent to customers automatically?
Yes, once a day if you set reminder days. Each reminder is sent once; a new due date starts them again. They use your store's mail settings.
Can I add orders on invoice from the admin?
Yes. When an order created in the admin uses the "Pay on invoice" payment method, its invoice is created when the order gets its status.
Do I need OCMOD?
No. The extension uses OpenCart events only and does not edit core files.
What if my licence ends?
Customers no longer see paying on invoice; admin screens, invoices, payments and reminders keep working.
