Unpaid bank transfer orders hold stock until someone cancels them, and shipped orders wait for someone to mark them complete. OpenCart has no timed status changes. Order Automation Rules does this work: if an order is in a status for so long, with this payment method, shipping method or total, it moves to the status you choose.

Conditions: one or more statuses, the time in that status (from the order history), payment methods, shipping methods, order total range, stores and customer groups.
Action: a new status added as an order history, the way you would do it by hand, so stock, coupons and e-mails behave the same. Notify the customer or not, with your comment.
Preview first: a new rule only writes down what it would do. Each rule shows the orders it matches now. Going live needs a confirmation.
Safe: a rule acts on an order once; new rules ignore orders placed before them unless you allow it; a limit per run; one run at a time.
Activity: every preview and live change, and orders that a person or a payment moved back afterwards.
Templates: cancel unpaid bank transfers, complete shipped orders, cash on delivery to processing.
Schedule: the OpenCart 4 cron, a private cron address for any server, and admin visits as a safety net.

Limits of this version

Rules run on a schedule, not the moment an order reaches the time: with an hourly cron, up to an hour later.
The time in a status comes from the order history. An order whose history was deleted counts from its last change.
Order totals are compared in your default currency.

Installation

Requirements

OpenCart 4.0.2.0 to 4.1.x, or 3.0.3.8 to 3.0.5.x
PHP 7.4 or newer
A cron job on your server is recommended (see below)

Install on OpenCart 4

Go to Extensions > Installer and upload kv_order_automation.ocmod.zip.
Press the install button next to Order Automation Rules.
Go to Extensions > Extensions, choose Modules and install Order Automation Rules.

The extension adds an hourly job to Extensions > Cron Jobs. It runs when your server calls the OpenCart cron (the address is on that page).

Install on OpenCart 3

Go to Extensions > Installer and upload kv_order_automation-oc3.ocmod.zip.
Go to Extensions > Modifications and press Refresh.
Go to Extensions > Extensions, choose Modules and install Order Automation Rules.

The cron job

Open Sales > Order Automation > Settings and copy the cron address. Ask your host, or add in your hosting panel, a cron job such as:

Without a cron job, keep Run on admin visits on: the rules then run when you or your staff open the admin.

First steps

Open Sales > Order Automation and pick a template.
Check the orders it matches, save it in preview and press Run now.
Read Activity. When it does what you expect, switch the rule to live.

Updating

Upload the new package the same way. Rules and activity stay; the extension brings its tables up to date by itself the next time you open it.

Removing

Uninstalling removes the rules, the activity and the cron job. Orders are not touched.

Configuration

Open Sales > Order Automation > Settings.

Setting	What it does
Status	Off stops every rule without changing them.
Cron URL	The private address that runs the rules. It contains a key; keep it private.
Run on admin visits	When the last run is more than 15 minutes old, opening the admin starts a run in the background.
Last run	When the rules last ran, and a Run now button.

Running the rules

Runs never overlap: a run that finds another one going on stops.

License

Enter your key on the Settings page. The 14-day trial runs without a key. When a license is not valid, rules do not run. The admin stays open and your rules stay.

Usage

Making a rule

Open Sales > Order Automation and pick a template or New rule.

Preview and live

A new rule is in preview: each run writes down the orders it would change, and nothing else. The rule page lists the orders it matches now. When you are happy, choose Live, tick the confirmation and save.

A live rule changes an order once. If a person or a payment later moves the order on, the activity marks it and the rule leaves it alone.

Activity

Activity lists the latest changes: date, order, rule, from and to status, and the result: Changed, Would change or Failed. Filter by live or preview, or click a rule name for its own activity.

FAQ

Does canceling give the stock back?

Yes. The rule adds an order history like you would by hand, so OpenCart puts the stock back as usual.

Can a rule cancel an order the customer just paid?

A rule only acts on orders that are still in the statuses it looks for when it runs. A paid order normally moves to another status first.

Do I need a cron job?

It is recommended. Without one, keep Run on admin visits on; then rules run while someone uses the admin.

Will it change old orders when I install it?

No. New rules only look at orders placed after you save them, unless you tick Older orders. And every rule starts in preview.

Can customers be told?

Yes, tick Notify the customer: OpenCart sends its order update e-mail with your comment.

Do you edit core files?

No. It uses events only, without OCMOD.
